For associations & volunteers

E-invoicing for associations

Issue professional invoices to sponsors and members and keep a clear record for the next treasurer, without an accounting degree.

Typical challenges

Traceable for the next treasurer

GoBD archive as a memory

Volunteers change, the records should not. Every invoice is archived in an unalterable form, and the full export is ready in one click for the financial audit or the next treasurer.

Simple enough for volunteers

No accounting degree needed

Fill in the form and you are done. No XML, no jargon, no training.

A professional appearance

Invoices to sponsors & members

With a GiroCode for quick payment and an optional authenticity seal against fake “invoices from the association”.

Auditors and the board want to look in

The read-only role for auditors and the board

Invite cash auditors or board members with the read-only role: they see invoices, archive and reports but cannot create or change anything. The team function is part of the Business plan.

Fees and courses for many members

From the member list to many invoices via Excel

If your member list is available as Excel or CSV, you create many invoices from it at once, with a preview and checks before anything is generated. Faulty rows are reported before anything is created.

Collecting fees

Invoice with SEPA direct debit details

Members who pay by direct debit get an invoice with the mandate reference and your creditor ID, stored in structured form in the e-invoice. You carry out the collection itself through your bank as before.

Frequently asked questions: E-invoicing for associations

Does our association need to be able to issue e-invoices?

The e-invoicing obligation generally applies to associations too: you have had to be able to receive e-invoices since 1 January 2025. Whether and to what extent your association must issue them itself depends on its tax classification (non-profit sphere, special-purpose operation or commercial business operation). Your tax adviser is best placed to check this.

How do we keep track when the treasurer changes?

Every invoice you create and every invoice received via the mailbox is automatically frozen with a checksum. The full export delivers all records in machine-readable form, including an integrity manifest, no matter who is treasurer at the time.

Do we need accounting software for this?

No. The web interface is deliberately lean: fill in the form and the invoice is done, with no bookkeeping functions that an association does not need anyway.

What does it cost for a small association?

You pay per transaction, no subscription. Getting started is free with complimentary credits, which often last a long time for the handful of invoices a typical association issues each year.

Can auditors see documents without changing anything?

Yes, with the read-only role auditors see invoices, archive and reports without being able to create or change anything. The team function is part of the Business plan.

Can I bill membership fees from a list?

Yes. An Excel or CSV list becomes many invoices at once, with a preview and checks before anything is generated.

Does the service also create donation receipts?

No. The service creates invoices as e-invoices. Donation acknowledgements are not included.
